The Plan We Suggest for Schools

A typical school in Kenya fits comfortably on a mid-tier shared plan, and larger institutions can move up whenever they need to.

The questions parents bring to a school website

Almost every parent who visits a school's site wants the same few answers, usually in the same order. On most school websites in Kenya those answers come last, hidden beneath a welcome message from the administration.

  1. What will it cost? The fee structure, both as a page that reads well on a phone and as a PDF they can save and forward to a spouse.
  2. How do we apply? Entry requirements, what to bring, when intakes open and whom to call.
  3. When are the terms? Opening and closing dates, half term and reporting days.
  4. Who can I talk to? A phone number someone actually answers, plus an email address on the school's own domain.
  5. Is the school any good? Results, facilities and photos of your real pupils and classrooms, not stock pictures.

Answer those five on the first screen and most enquiries are dealt with before anyone rings the office. That is a decision about content, not technology, and it costs nothing.

Results day and admissions put the site under pressure

Traffic to a school site does not arrive evenly. Nothing much happens for months, and then, in the week results are released or admissions open, visits can jump to many times the usual level in a single day, with every parent downloading the same fee structure PDF.

Two habits keep this manageable. First, keep PDFs a sensible size: a fee structure saved straight from a scanner may be 15MB, while the same document produced properly is under 500KB, thirty times less to send each time a parent opens it. Second, rely on the caching your plan already has, so returning visitors get the page without it being rebuilt for them.

A portal where parents sign in to check results or balances puts a different kind of load on the server, so let us know if you run one. A busy portal belongs on a VPS, not on shared hosting.

Questions from Schools

A typical school site in Kenya has an about and mission page, the admissions process, the fee structure, news and events, a photo gallery, a staff list, a contact form and a section for parents. All of it fits on one hosting plan with us.

Yes. We can connect your Lipa Na M-Pesa Paybill so parents pay term fees from their phones and receive a digital receipt. Many KEPSHA and KESSHA member schools already work this way.

Yes. You can keep it simple with a downloads section, or add WordPress LMS plugins such as LearnDash or LifterLMS for complete online courses. Small e-learning setups run easily on our shared plans, while larger LMS deployments are better on our VPS.

Yes. Each plan comes with email accounts on your domain, such as [email protected]. If you have 30 or more staff, we suggest adding Google Workspace through our service.

Yes. Kenyan schools conventionally use .sc.ke, which KENIC manages, and we register and host .sc.ke, .ac.ke, .co.ke and .or.ke. During sign-up our team can help you pick the right extension.

Yes. An SMS gateway such as AfricasTalking can be connected to your site so the school can send bulk SMS for fee reminders, events or exam notices. We help you set it up.

In Kenya, schools normally use .sc.ke. Only registered schools can hold it, so it tells visitors straight away what you are. Look closely at the renewal cost when you budget: .sc.ke is KSh 240 to register and KSh 1,800 a year to renew. Colleges and universities use .ac.ke instead, where .ac.ke is KSh 499 to register and KSh 1,500 a year to renew.

Yes, and on most school sites it is downloaded more than any other file. Keep it to roughly 1MB or less so it opens fast on a phone with poor signal. A scanned copy is likely to be much bigger than necessary, and we can show you how to shrink it while keeping it readable.

The caching already on your plan handles normal traffic peaks. A site made up mostly of pages and PDFs gets through an admissions rush without trouble. If you have a parent portal with logins, let us know, because steady logged-in traffic suits a VPS better than shared hosting.

Yes. Mailboxes such as [email protected] or [email protected] are created in the control panel, and staff read their mail in webmail or on their phones. The number of mailboxes depends on your plan.

You can publish anything the school is allowed to publish. Most schools share a summary of performance rather than results for individual candidates, and keep anything that identifies a particular pupil behind a login. If you are unsure what is allowed, ask your board before it goes online, not after.

Anyone you give the login to, and they do not need to be technical. The two things to refresh before each term starts are the term dates and the fee structure. Because backups are taken daily, a mistake made during the holidays can be reversed.
